The path to the perfect travel plan - not a sure-fire success!

Have you ever wondered how a tailor-made travel plan for business travellers is actually created in a business travel agency? It may seem like a no-brainer, but there is an impressive amount of work behind the scenes to ultimately present you with the perfect itinerary. 

Whether in printed form, as a PDF, in HTML or via an app - everyone needs such a plan, but it is often overlooked how many steps and hands are required to create it. The belief that all a travel expert has to do is press a button and voilà, the plan is ready is unfortunately far removed from reality.

To begin with, flights, hotels, hire cars and train journeys are carefully coordinated and booked by our business travel experts. Each individual component must be seamlessly integrated. A travel agency employee then enters specific information into the reservation system so that quotations, confirmations or changes can be sent to you correctly and, of course, subsequently transmitted to you. 

This is where our booking system's special "smart flows" come into play, which serve to minimise input errors. The bookings are then placed in queues, where automated processes take care of sorting. At the same time, tickets are issued, changed or cancelled - further steps that are partly automated and partly manual. But that's not all. 

The data collected so far is then compiled into a customised individual travel plan, usually in the form of a PDF document. The data is automatically transferred and compiled in a predefined template that contains placeholders for the various pieces of information. Some customers require specific information for travelling to certain countries, others ask for emergency numbers, while still others want additional travel information attached as a PDF. Or do you simply want your own logo? All this is possible.

But now the travel plan has been created virtually, but it still has to be sent. But now the question needs to be clarified first: Should the plan be sent exclusively to the traveller themselves, or also to the secretary or perhaps even a travel manager? The options are varied and your preferences take centre stage. Finally, the booking is sorted again and placed in a mailer queue in preparation for dispatch.
